About tourbookers

What is tourbookers?

tourbookers is the online platform for tours in exotic destinations and promotes your tours to travelers worldwide. You show your offers where travelers find and book them, and you manage every booking directly with your customer - no agency and no middle-man in between. Building your own page on tourbookers is free of upfront cost. Note: tourbookers is not a tour operator, tour agency or tour provider and does not operate the listed tours.

Which tours can I offer?

Boat, snorkel and fishing trips, sightseeing and adventure tours, sport and hiking activities, food and beverage experiences, romantic events, spa and beauty treatments, cooking and yoga classes, rentals, transfers, culture and nature activities. The tour onboarding walks you through the description step by step; when it is finished you put the tour online yourself.

Registration and account

How do I become a supplier?

Enter your personal contact details and your company details on the supplier registration. You then receive a registration request confirmation by e-mail. Support checks and approves your request within 48 hours, and you receive an approval e-mail. After that you log in with your e-mail address and password to fill your profile, upload and sell tours and manage your bookings.

Which personal contact details do you need?

Your personal contact details are never public - they are how tourbookers reaches you. Mandatory are:

  • E-mail and password - your e-mail address is also your login name.
  • First and last name of the person who administrates the supplier account.
  • Mobile number tourbookers can use to contact you.
  • WhatsApp number tourbookers can use to contact you.

Which company details do you need?

The company details make up your public supplier profile page. Mandatory are:

  • Company legal name, which is shown on your public profile page. Please avoid special characters such as commas.
  • Country, region and island where you operate the tours. If you operate on several islands, enter the island of your main office. Country and island are shown on your public profile page.

How do I log in?

Use the supplier Login with your registration e-mail address and your password.

I cannot log in - what now?

  • Use the eye icon in the password field to see the characters you entered and check the password.
  • Reload the page and log in once more. If the error happens again, take a screenshot including the URL and send it to support.

I forgot my password.

Click Forgot your password on the login screen. Enter your login e-mail address and you receive an e-mail with the reset instructions.

How do I change my company details?

Every company detail can be changed in the profile section of your supplier area.

How do I delete my supplier account?

Write an e-mail to info@tourbookers.com.

Tour bookings

Where do I manage my bookings?

In the dashboard of your supplier area. It is the central hub for your tour bookings: you confirm, decline and cancel there. Every action sends an e-mail to your customer, and you are notified by e-mail as well.

Can I rely on the e-mail notifications?

Please stay logged in and visit your dashboard once a day. E-mail delivery is not always reliable and does not depend on tourbookers.

How long do I have to answer a booking request?

You answer within the confirmation policy of that tour - 24 or 48 hours (tours with instant confirmation need no answer). A request you do not answer is declined automatically: a short term request (within 48 hours of the tour) 3 hours before the starting time, a long term request 72 hours after the request. Short term requests can be confirmed up to 3 hours before the starting time.

How do I confirm a booking request?

Log in - either through the link "Confirm or decline your tour" in the request e-mail, or on the platform Login. Open your dashboard, select the request with the status "Waiting for Confirmation" and click "Confirm tour booking request". You may leave a message for your customer (for example the pickup time) and click the button again. The tour then shows the status "CONFIRMED", the contract between you and the customer comes into effect and the customer is charged the security deposit. Both of you receive the confirmation e-mail with the partly paid voucher, your message included.

How do I decline a booking request?

Log in, open your dashboard, select the request with the status "Waiting for Confirmation" and click "Decline tour booking request". Select the declination reason and confirm. The tour then shows the status "DECLINED", your customer is not charged the security deposit, and both of you receive the declination e-mail. You may add a message for the customer before you decline.

Can I offer an alternative instead of declining?

Yes. After "Decline tour booking request", click "Do you want to offer an alternative to your customer", select the date, the starting time and the tour, and click "add". Up to three alternatives can be added to one declination; they are carried into the declination e-mail.

Can I cancel a booking I already confirmed?

Yes, online, with a cancelation reason, right up to the starting time (for bookings without a starting time, before 09:00 local time). Open your dashboard, select the booking with the status "Confirmed", click "Cancel tour booking" and choose the reason - typical ones are unsuitable weather or the tour not operating that day. The booking then shows "CANCELED BY SUPPLIER", both of you receive the cancelation e-mail, and the security deposit is refunded to your customer in the following days.

What is the voucher for?

To be admitted to your tour the customer presents the partly paid voucher, on the phone or printed, and pays the amount stated under "Due on the day of the tour" in EUR to you on site. The voucher carries all booking details: your contact details and the customer's, the tour and the booking.

Payment and compensation

Which price do I enter for my tour?

Your final tour price in Euro, excluding the tourbookers commission but including all local taxes. Your customers pay no further taxes on the day. The price in your tour description is what you receive from the customer in Euro on site on the day of the tour.

What does tourbookers charge?

tourbookers adds a security deposit - the tourbookers commission, German VAT and payment charges - on top of your price. The customer pays it online to tourbookers after you confirmed the tour, and it stays with tourbookers as the commission for the service once the tour is completed. Your price plus that deposit is the final customer price shown on the platform.

When does the customer pay what?

Part 1, on your confirmation: tourbookers charges the security deposit from the customer online. The customer receives a partly paid voucher and an invoice - "partly paid" because only the deposit has been paid so far. Part 2, on the day of the tour: the customer presents the voucher and pays you the remaining amount, which is your tour price. As proof the customer can request an invoice from you. There is no payment between tourbookers and you, except a compensation.

Which currency and payment method applies on site?

Prices are in EUR. Which ways of paying you take on site, you set on your company page under "Payment on site"; the tour page and every booking name them for your customer. Any other special condition, such as an advance payment, belongs there as well. Your customer may pay the on-site amount in EUR or the equivalent in local currency at the day's exchange rate.

When do I receive a compensation?

As a courtesy of tourbookers in two cases: the customer cancels a confirmed booking outside your cancelation period, or the customer does not show up at all. Note: no compensation can be requested when the tour details were changed later directly between you and the customer - a different meeting point or time, for example - without notice to support.

How do I request a compensation, and what is paid?

A cancelation made online outside your cancelation period adds the compensation to your account automatically and you receive a compensation note by e-mail. For a no show, send your request including the booking ID to the tourbookers Support at info@tourbookers.com or +49 151 52256551 (WhatsApp only); after the case is verified you may receive the compensation. It is currently 50% of the paid security deposit minus transaction cost, is paid in EUR only, and to an existing PayPal account once a year.

Cancelation

When can my customer cancel free of charge?

A booking you have not confirmed yet - status "Waiting for Confirmation" - can always be canceled free of charge; the security deposit is not charged. A confirmed booking can be canceled free of charge within your given cancelation period; the deposit is refunded in the following days. You receive a cancelation e-mail in both cases.

What if my customer cancels too late?

A confirmed booking canceled outside your given cancelation period is not free of charge: the security deposit is not refunded to the customer, and you receive the cancelation e-mail together with a compensation note.
